POSITION: Development Coordinator

SUMMARY
The Development Coordinator will assist the Development Director with building a broad-based community support for La Jolla Music Society (LJMS). The Development Coordinator will cultivate and solicit a variety of individuals for support of LJMS’ annual giving programs and special events. The Development Coordinator will participate in the planning and execution of LJMS fundraising events and appeals as assigned, with the responsibility for meeting sponsorship, event registration, and other fundraising goals; as well as coordinating development department logistics with the Development Business Development & Event Coordinator.

PRIMARY AREAS OF RESPONSIBILITY

DONOR MANAGEMENT & RESEARCH
• Processes and tracks all charitable gifts to LJMS and creates reports that are kept in a fundraising database and donor files (both softcopy and hardcopy). Presents records to funders as requested. Ensures all charitable gifts received an acknowledgment letter by writing and producing letters for signature;
• Maintain detailed and up-to-date records on donor cultivation, solicitation and stewardship actions. Maintain an annual moves-management calendar in support of efforts to cultivate donors along a continuum from awareness to investment;
• Ensures donor benefits are tracked and sent;
• Draft personalized acknowledgment letters as assigned. Produce word processing and spreadsheets for campaign-related letters and proposals;
• Identify and research donor prospects, create prospect profiles, and provide analysis on donor trends and opportunities;
• Research, draft, and edit communications including letters of interest, proposals, reports, and thank you letters;
• Maintain a calendar of grant deadlines and submissions, and track progress toward contributed revenue goals. Track current grants to ensure compliance with interim and final reporting requirements, report deadlines and program updates from funders;
• Gather and prepare materials (e.g. financial data, required forms, budgets, etc,) to accompany grant applications and reports, donor correspondence, and board reports.

CAMPAIGNS
• Coordinate direct mail campaigns by writing the appeal letter, identifying and extracting solicitation list, assembly and distribution of mailing pieces. Work with LJMS staff and vendors to ensure timeliness of these mailings;
• Producing campaign materials such as letters, invitations, and maintaining ticket allocation lists for committee use;
• Create on-line giving campaigns, including peer to peer fundraising, social media and e-communications with multiple LJMS staff;
• Assist in building annual giving from individuals through personal solicitation, direct mail, and other potential avenues of fundraising;
• Assist with the creation of sponsorship proposals and solicit sponsors (primarily $5,000 and below) as assigned by the Development Director.

EVENTS

• Assists with fundraising and participation goals for various special events, including two large galas, restaurant nights and other events as assigned by producing invitations, tracking responses, and making follow-up calls as needed;
• Works closely with the Business Development & Event Coordinator on event logistics, including check-in, on-site signage display, and securing vendors. Ensure all projects are completed accurately, within budget, and on time.

QUALIFICATIONS
• High level of organization and attention to detail and accuracy;
• Exceptional writing and proofreading skills; ability to communicate clearly and effectively with a wide variety of audiences through various mediums (verbal, print, online);
• Comfortable with standards of social etiquette as related to correspondences;
• An understanding and experience with budgetary management;
• Proficient in Microsoft Word, Excel, and Outlook software;
• Experience creating mail merged documents with Microsoft Excel and Access;
• Basic understanding of database management principles, including importing and exporting data from Access and similar database systems, building structured queries and reports with SQL;
• Experience in ProVenue, Adobe InDesign, Photoshop, and Illustrator a plus;
• Attendance at events and concerts is required, including nights and weekends;
• Ability to lift up to 30.

– Pre-Festival Meetings: TBD 1-2 days/1-4 hours during July 21-27, 2016.
– Festival Dates: August 1-27, 2016
– Please note that this is a time-heavy commitment. Span of day is often 8am-midnight. Any conflicts need to be reported at the time of application. Best efforts to get every team member at least 1 day off per week.

General Notes:
– The Assistant Stage Manager agrees to be hired as an independent contractor and fill out a W-9 form for tax purposes.
– The ASM must be self-directed, and take initiative to complete the tasks assigned at all points throughout the festival, anticipating problems and offering solutions.
– DRESS CODE: Daytime Dress Code: Business casual, jeans are allowed, closed-toed shoes at all times. Concert Dress Code: Business dress – all black pants, long sleeved black shirts, black socks & shoes. No jeans or sneakers.
– ASMs are responsible for their own transportation to and from work, as well as housing if you are not from San Diego.

Description of Responsibilities:
– Assist the Principal Stage Manager with the running of all rehearsals, performances and other venue related activities throughout the duration of SummerFest.
– Review upcoming schedules to ensure smooth operation of the day’s events, and discuss concerns with the Principal Stage Manager.
– Create stage diagrams and rehearse stage changes with the entire stage team daily for each concert. It is very important that all stage changes are fully rehearsed in concert order before each concert. Stage managers are the run crew for every performance.
– Maintain a safe and clean area onstage, backstage, in the green room, and anywhere that staff or artists will have access to in each venue.
– Coordinate with venue staff (production and custodial) to ensure the stage and green room are clean and stocked with appropriate necessities (paper goods, tables and chairs, etc.)
– Stock & refresh the green room multiple times a day. Make shopping trips for items that need replacing.
– Attend to artist needs at all times.
– Maintain the highest level of communication with the Principal Stage Manager, Director of Theatre Operations, and LJMS Artistic Staff members.

– Assist the Recording Engineer in preparing and processing uploads to the Artist Review Center following each concert.
– Assist the Recording Engineer in editing/preparing recordings submitted to broadcast and online media.
– Assist Recording Engineer with loading equipment and placing microphones/cables in SummerFest Venues. Coordinate with the Stage Management team to place and strike microphones and cabling during performance stage changes.
– As directed, create, organize, and label CDs for distribution to Music Director and artists.
– Maintain the highest level of communication with the Recording Engineer, Principal Stage Manager, Director of Theatre Operations, and LJMS SummerFest staff
– Maintain a professional manner and appearance
– Additional duties and seen fit to assign throughout the festival.
